Please note that correspondence specifically addressed “to Mayor and Council” may be placed on a Council meeting agenda, at the discretion of the Corporate Officer. Your correspondence will be placed on the agenda for information if it is in the public interest, or requests action/requires a decision of Council. We do not place correspondence on the agenda related to operational matters (staff responds to these), however if the correspondence is addressed to Council, a copy will be made available to all Council members.
If your correspondence is added to a Council meeting agenda, your name and address as stated on the written submission will be recorded in the permanent public Council minutes, which are published online (email addresses and phone numbers are redacted). This information may be redacted at the discretion of the Corporate Officer in certain circumstances. If you do not want your name, address or correspondence published, please advise us when submitting your correspondence that it is to be treated as confidential.
